Letters, Emails and SMS - bulk send correspondence template
This article explains how to use Utilmate’s bulk correspondence feature to send Letters, Emails, and SMS messages to multiple customers at once using pre-configured templates. You’ll learn how to create and manage templates, personalise communications using merge fields, and efficiently deliver bulk customer correspondence directly from the platform.
To send a correspondence template out in bulk, go to the Maintenance menu and select Letters, Emails and SMS. Click on the Bulk Send button.
Send a bulk merge template message
Choose Send correspondence template from the dropdown list.
Enter the below information, then click Save.
- Select the building (or multiple buildings) you want to send the correspondence too.
- Select the customer types.
- Select the correspondence template
- (Optional) Add an additional PDF attachment, if you have one (please note this can only be a single PDF).
Click on the Preview Email/Preview Letter button to preview the correspondence. The preview will only display the first customer in the dataset. For example, if 100 customers are selected, only the details for the first customer will appear in the preview.
To send your correspondence, click the Generate button. Your correspondence will be sent and recorded in the Notifications, Email Messages screen.
All emails, SMS, or posted mail will require manual approval before sending, regardless of whether your settings are configured for automatic sending.
- Emails will appear in the Dashboard -> new and undelivered emails screen.
- Letters will appear in the Dashboard -> new and undelivered posted mail screen.
