Instant invoice
To generate an instant invoice for a customer, ensure that the:
- meter readings are up to date and available for invoicing
- account has UNINVOICED reads for invoicing and the date that can be invoiced up to
- AM accounts - AM reads to be imported to time of invoicing (AM Accounts only)
- Deemed accounts - if a meter read does not exist for the date you would like to invoice, this can be estimated.
Click on the Services menu, then on the Basic Reads tab. If there is no un-invoiced meter reading for the required date, click on the Add button.
Enter the below information into "Add meter read" wizard screen, then Save.
- Read sub type
ACTUALE as the read type for an estimate or ACTUALC for a customer read - Meter read
Leave the meter read as 0 if the read is estimated - Read date
- Add factor
- Estimate read
- Audit reference.
Re-generate transactions
When the valid meter reads are available (for all accounts and meters), go to the Account tab and select Re-generate Transactions from the Transaction Actions dropdown list.
Enter the below information into "Regenerate transactions wizard" screen:
- Select the account - for consolidated accounts, you can choose to generate transaction for just the account selected or all accounts
- Generate estimate
- End date - if you would like to generate a transaction beyond the last bill period
Optional: If you have any one-off charges to be applied click on the Customer Details screen, then Charges tab and the Add button. If the charge amount exceeds your delegated authority level it will not automatically be approved. Your manager will need to do this to apply to the invoice.
Tip: You can check these by going to the Transaction Report in the Transaction Action dropdown list.
Review transactions with the status of Uninvoiced (these are the ones you will have generated). If they are inaccurate ie the meter read, price plan or account dates (or any other attributes), these can be edited and transactions regenerated using the Re-generate transactions button until accurate. These transactions will also appear in the Unbilled Transactions on your Dashboard.
Generate invoice
To generate the invoice, go to the Accounts Receivable menu, then Transaction List. Click on the Invoice Actions button and select Instant Invoice from the dropdown.
Select your invoice date and invoice due date.
Preview invoice
Click on Preview to see an image of what your invoice will look like.
Note: For Australian authorised retailers, the Better Bills regulation means that combined electricity and water bills are not possible. To preview each product invoice, click on the button.
Generate invoice
To generate the invoice, click on Generate Invoice button. The invoice will be turned into a pdf and the customer balance updated.
Send invoice
To send the invoice to your customer either by email or sms (your customer delivery preference), go to the dashboard and click on New and Undelivered Email Messages or New and Undelivered Posted Mail. The invoice will be delivered according to the customer's preferred delivery method.
Select the invoice you want to send and click on the Send/Resend button and the invoice will be on its way to your customer.
