Audit - invoice report
The Audit - Invoice report selects all invoices for a given accounting period and returns their totals. It can be run at any time from the Reports menu, Audit and select Audit Invoice Report.
Filters
This report can be filtered by date range, and building.
- If Use transaction date is ticked, the report will return all invoices within the date range based on their invoice date.
- If Use transaction date is not ticked, the report will return all invoices within the date range based on their posted date.
Note: Although receipt and adjustment transaction dates may vary from their posted dates, it is unlikely for invoices.
Columns
This report selects all invoices for a selected date range (based on the transaction date or posted date):
- Previous Balance is the closing balance of the previous invoice.
- Adjustment total shows any adjustments made since the last invoice
- Receipt total shows any payments made since the last invoice
- Opening balance is the previous balance, less Adjustments and receipts
- Invoice Amt (incl GST) shows the total for this invoice
- Total due is the opening balance plus the invoice amount (incl GST)
- GST is the GST amount
- Tax rate shows the actual tax rate applied across the invoice.
- Invoice date is the date the invoice was created.
- Posted date is the date recorded in Utilmate.
- Due date is the date that payment is due.
- Paid shows whether the invoice has been fully paid or not
- Amount Paid shows the amount of the invoice that has been paid
- Reversal shows all invoice reversals
- Notes displays any notes that have been recorded against the customer.
- Prompt payment discount shows the value of the discount applied.

- Plan ID
- Xero Upload indicates if an invoice has been uploaded into Xero.
- Invoice type
- Invoice Product type is the service that is being invoiced ie water, gas etc
- Billing cycle is the period between two consecutive billing invoices.
- Best offer message indicated if "best offer" or "not best offer" message was on it.
Note: If an invoice reversal is done, the reversal is reflected in the accounting period based on a reversal date, not the date of the original invoice. Each accounting period (month) is locked at the end of the month.
