Remove or replace an occupier
To remove or replace an occupier, ask your customer:
- their full name
- if they have been a customer previously
- the building and property they are moving into
If the current customer is an occupier, you may need to replace the occupier with the new customer.
Edit occupier details
Go to Customer Details menu then select residential and enter the below information:
- Customer type - this will be OCCUPIER, and will need to be changed to either RESIDENTIAL or COMPANY
- Customer sub type - this will be OCCUPIER and will need to be changed to either OWNER or TENANT
- Customer name - this is who the invoices will be addressed to. It can be a single name (Homer Simpson), joints names (Homer & Marge Simpson) or a company name (XYZ Ltd)
- Industry for company - this is required for companies
- State
- Address - this will be the property address and will only need changing if the customer has a different postal address
Connection fee
If a connection fee is required, click on the Customer Details menu and then Charges, and + button.
Add one-off charge for this customer
Enter the below information:
- Charge item - select from the dropdown list
- Charge date
- Total
- Invoice description
- Notes
- Account - select from the dropdown list
Note: If the charge amount is over the users delegated authority, it will need to be approved before it is able to be invoiced.
Invoice and letter delivery method
If the customer would like to receive their invoices and letters via email, click on the Customer Details menu, then Invoicing and then select Invoice Delivery Method and Letter Delivery Method from the dropdown lists.
Note: The delivery methods for an Occupier will always be set to postal mail.
Edit the occupier contact details and replace them with the customer details by clicking on the Contacts menu, then Details and edit the information. You'll need to capture:
Contact Detail tab
- Name - contact name, first name and last name.
- Date of birth - validation applied to ensure the customer is over 18 years old.
- Email address - validation applied to ensure it has an @ and .
Addresses tab
- Postal address if it is different to the street address information.
Identification tab
- Form of identification - this can be a driver's license, passport, ABN, ACN or Medicare card. This is used for future credit checking or customer identification.
Phone tab
- Phone number - can be a landline or mobile. If a mobile is used, they will receive automated SMS notifications as part of the treatment process.
Open date
The Occupier Account Open Date will be the day after the previous customer moved out of the property. If the new customer did not move in on this day, change the Account Open date and Account Price Plan Start Date to the correct date.
Non-AM meters
Non-AM meters may or may not have a meter read for the new account open date. The existing opening meter read should be updated to match the account open date by clicking on the Services menu, then Basic Reads tab and select Edit Meter Read button.
Bond
If your customer is required to pay a bond click on the Accounts Receivable menu, then select Transaction List. Choose Add Adjustment from the Other Actions button. Select Bond Charged as the adjustment reason.
This is an optional field.

- prefers to receive separate invoices for each of their services (electricity, gas, water) go to de-consolidate accounts.
