Send or re-send an email or letter
You are able to send and re-send emails/letters to customers from Utilmate.
To send or re-send an email, go to the Documents menu and click on the Envelope button.
Re-send an email
If a customer would like an email that was previously sent to them, select Resend a previously sent email from the drop-down list.
Select the previously sent email you would like to re-send from the drop-down list, then click Generate.
Send a letter or email
If you want to generate a new document to email or post to the customer, select Send letter from template from the drop-down list.
Select the template from the drop-down list you would like to send.
You can preview both the email and the letter using the preview email and preview letter buttons. The preview email button will only be available for customers with a delivery preference of email. Click on Generate to send.
Tip: If you are sending a new email (not re-sending) the PDF attachment will contain up-to-date balances and information. If you are re-sending an older email, the same PDF attachment will be sent so balances may be out of date.
Send new correspondence
If you want to generate a new document to email or post to the customer that is not included in the template list, select Write adhoc email from the drop-down list.
Enter the email subject and email body details of the email.
You can preview the email by clicking on the preview email buttons. The preview email button will only be available for customers with a delivery preference of email. Click on Generate to send.
Note: The email will then appear in your new and undelivered emails messages dashboard screen for approval to be sent.
