One off and recurring charges

One-off and recurring charges allow you to apply different types of costs to a customer’s account depending on how often they should be billed.

A one-off charge is applied once—such as a fee, adjustment, or ad hoc cost. A recurring charge is applied automatically on an ongoing basis (for example, each billing cycle), ensuring regular costs are consistently included in invoices.

In Utilmate, these charge types help you manage both occasional and ongoing billing items, ensuring all costs are captured accurately and applied at the right time within the billing process.

Add a one off charge

Click on the Customer Details menu, and Charges, then click on the +button.

Enter the below information into "One off charge wizard" screen.

• Charge type - it's important to select the right charge item type, as this determines the default invoice description and tax handling
• Charge date - this may be in the future, and it will not be invoiced until this date
• Total - charge amount, including GST if any
• Invoice description - if different from the default
• Notes - enter any internal notes
• Account - the account the charge relates to

 

Add a recurring charge

Click on the Customer Details menu, and Charges, then click the + button.

Enter the below information into "Add recurring charges wizard" screen.

• Charge item type - it's essential to select the right charge item type, as this determines the default invoice description and tax handling
• Frequency
• Start date - this is important as it impacts the date the charge will re-occur eg if you enter 20 January and monthly frequency, it will repeat on the 20th of each month
• End date (optional)
• Charge amount - charge amount, including tax
• Invoice description - if different from the default
• Utility account
